The Office Administrator provides services in the areas of executive support, reception, and office management. In addition to managing office services and building management needs, the OA provides administrative support to company executives by managing complex calendars, coordinating travel, and arranging for meetings and appointments. The OA is the first point of contact for visitors, clients and prospective employees. The OA provides exemplary customer service and is cheerful, positive and exhibits a can-do attitude in a fast-paced and high-energy environment.


Key Activities:


Administrative Assistant Duties:

  • Manage the front office by greeting visitors, screening phone calls, reviewing emails and mail; route and resolve information requests.
  • Manage executives’ calendars and logistics by planning and scheduling meetings and conferences, teleconferences and travel which may include catering and external vendor coordination.
  • Coordinate and facilitate company functions and events.
  • Interact with all levels of the organization and interface with external clients and board members, as necessary.
  • Work and interact closely with the Executive Leadership Team to understand, intuit and anticipate needs, challenges and solutions.

Office Services Duties:

  • Manage weekly company lunch program.
  • Coordinate space and office organization.
  • Purchase and manage supplies and equipment.
  • Maintaining the office condition and arranging necessary repairs.
  • Act as liaison between organization, landlord and other VisitPay departments (such as IT) to ensure office needs are met.

  • Ability to keep confidentiality, a professional appearance, and a helpful attitude.
  • Ability to juggle multiple projects with shifting priorities.
  • Strong critical thinking and problem-solving skills.
  • Excellent time-management skills.
  • Must be able to work with a wide variety of contacts from customers to executives.
  • Advanced office equipment skills, such as PC and spreadsheet software, are needed.

Qualifications:

  • Bachelor’s degree preferred but not required
  • 3-5 years relevant experience working in a fast-paced, high-pressure environment
  • 2 years minimum experience supporting an executive team

  • This position is based in Boise, ID. Relocation is not available.
